1. Effective Communication To Set Clear Priorities

One of the best ways to help your employees manage their time best is to use effective communication to set clear priorities. When you’re trying to figure out how to best use your time, it’s important to organise by priority.

One of the ways to do it is by using the Alpen method. This is a time-management technique designed to make your working day more efficient by planning ahead. It only requires five minutes of planning each day and helps users identify what they need, when it needs doing in order of importance so that there’s no room left over for distractions or unplanned tasks.

Based on the acronym Alpen, it divides the planning into 5 main parts

A – Activities and tasks
Writing down everything that you have to do, no matter how big or small.

L – Length of time
Create an estimate of how long each task can take.

P – Planning for buffering
Here you add some buffer time. Ideally, give 20% to cover any unexpected complications, and breaks and 20% to social interactions with colleagues.

E – Establishing priorities
Now that you’ve accounted for 40% of your time, start prioritising your tasks. Can anything be left for another day?

N- Note taking
After you are done, make notes. Was the day executed as planned? Are there any improvements that can be made? Make notes and improvise.

2. Use Of Time Management Tools

It can also help you identify areas where you’re wasting time so that you can cut them out of your schedule.

Tools like Pomodoro, Toggl and Todoist are some of the tools that can help track time and tasks. You can also give them access to such software so that they can see how much time they’re spending on each task.

You can also provide your employees with a daily schedule template that they can use to plan out their day.

3. Establish Specific Times To Avoid Distractions

The Pomodoro Technique is an amazing time management technique that can help you get more done in less amount of time. Set your timer for twenty-five minutes and work on one task at a clip until it beeps, then take 3 – 5 minute breaks between tasks while making sure to mark off what progress has been made along the way so far! When finish with all four bookmark points (or “books”), step away from the computer/keyboard for 15 – 30 min before starting another round.

You can also avoid getting interrupted throughout the day, establish specific times for checking email and returning phone calls. Let your employees know when these times are so that they can plan around them. This will help them stay focused on your work and avoid getting distracted by unnecessary tasks.

4. Focus More And Stop Multi Tasking

In order to be more effective and productive in work it’s important to focus more and stop multitasking. When you try to do too many things at once, you’re less likely to complete any of them effectively.

Encourage your employees and create a system where they can focus on one task at a time and give it their full attention. You’ll be surprised at how much more you can get done when there is focus!

5. Encourage Effective Delegation

One of the most effective time management strategies for managers is to delegate tasks.
